Safari Concierge AI · For the operators who sell the trip of a lifetime

You are not slow. You were eight hours away.

The enquiry landed at two in the morning, from a family eight time zones away, about a trip worth more than most of your season. By the time you replied properly they had already fallen for someone else's version of it. It never came back as a complaint. It came back as a quieter year.

Safari Concierge AI is built for bespoke operators and travel designers of two to ten people, working across the Delta, Moremi, the Zambezi, the gorilla forests and the camps a guest takes a decade to forget. It puts something in that gap that already sounds like you.

Every enquiry answered within minutes, in your voice, on every channel, and handed to you already warm.

  1. Guest · 21:14

Hello. We are a family of four looking at Botswana for next September, two adults and two teenagers. We have never done a safari before. We would like something private rather than a large lodge. On budget we honestly do not know what is realistic, but we are not looking for the cheapest option. Can you help?

  2. Safari Concierge · 21:14

Thank you for writing, and for the detail. September in Botswana is a lovely choice, and a first safari with teenagers is one of the nicest trips there is to plan.

Before I bring Charlotte into this properly, may I ask a few things so she can come back to you with something real rather than a brochure.

Are your dates fixed to September, or is there room either side?

When you say private, are you picturing a small private camp, or a mobile camp moved and set up for your family alone?

Do the two of them lean towards anything in particular. Walking, photography, water.

And is this Botswana on its own, or would you like it seen alongside somewhere else?

  3. Guest · 21:31

Second week of September ideally, but we can move by a week. Mobile camp sounds wonderful, we had not realised that was possible. Our son is sixteen and takes photography seriously. Our daughter is thirteen and would live in the water if we let her. We were thinking of adding Victoria Falls at the end.

Also, is the Delta safe for a thirteen year old? And do we need malaria tablets?

  4. Safari Concierge · 21:31

That is exactly the sort of question I will not answer from a script.

Charlotte will speak to the age question herself, because it depends on the camp, the guide and the way she would run your particular days. On the medical side she will point you to a travel clinic rather than give you advice she is not qualified to give. I have flagged both as the first things for her to cover.

She is in the Delta until Thursday and the signal there comes and goes. She has your enquiry marked as one to answer personally. You are not sitting in a queue.

One last thing while I have you. Is there anything about this trip that matters more to you than anything else? People usually have one. It helps her build around it.

  5. Guest · 21:38

My father came here in 1974 and never stopped talking about it. He turns eighty in September. He is not travelling with us, but that is why we are going.

  6. Safari Concierge · 21:38

Then that is the first thing Charlotte will read.

Thank you for telling me. I will make sure it is at the top of what she sees, not buried at the bottom.

The reason behind the trip
Her father travelled here in 1974 and turns eighty in September

Handed to a human because:

  • A question about child suitability that depends on camp, guide and route
  • A health question that belongs to a travel clinic, not to us
  • No budget stated, and a first time family should hear real figures from you
  • A personal reason behind the trip that deserves a person, not a system

Nothing above was sent to the guest. Everything above was ready before you opened your inbox.

It asked four useful questions, refused two it had no business answering, and found the one thing the trip was actually about.

We know your world

You're in camp. The signal drops. A serious enquiry sits unread for three days.

Replies from the field, days late

You're between Maun and Kasane, the satellite is patchy, and a $40,000 enquiry is sitting in your inbox waiting for the kind of reply it deserves. By the time you can answer properly, they've already heard back from someone else.

The hundredth 'when's the best time for the Delta?'

You love the question the first ten times. By the hundredth, it's eating the hours you should be spending on the ones who are actually ready to book a full mobile camp out of Maun.

Vague enquiries you can't read

'Two weeks in Africa, sometime next year, mid-range.' You know there's a real traveller in there somewhere, but you don't have time to draw it out of every one of them.

The ones who go quiet

A strong enquirer goes silent for two weeks. You meant to follow up. You didn't. They booked with the operator who did. You'll never know what they were really worth.

Your best month is your leakiest month

Enquiries spike at the exact moment your team has the least capacity to answer them properly. The season that makes your year is also the one that loses the most, and it happens every single year in the same eight weeks.

The only fix you know is hiring, and hiring does not fix it

A reservations person costs $45,000 to $60,000 a year once you have loaded it properly. They cannot sound like you for six months, they are still asleep when the enquiry from Denver lands, and they may be gone inside a year.

None of this ever arrives as a complaint. Nobody writes to say the reply was too slow. They simply book with whoever answered first, and you find out nothing at all. One $60,000 trip lost is months of margin, and it will never appear on a single report you read.

THE DOORWAY METHOD

We do not make you faster. We put something in the doorway.

Everything you have tried before was built to help you reply faster. Speed was never the problem. The problem is that you were not there. So we stop trying to make you quicker, and we stand something in the gap that already sounds like you, is always awake, and knows exactly where to stop.

  • 01

    The Voice Print

I read twelve months of your real correspondence and write down how you actually speak. Your rhythm, your warmth, the questions you always ask, the things you would never say. That document becomes the voice, so no reply is ever written from a template. It is yours to keep, whatever happens next.

  • 02

    The Doorway

It watches every channel your enquiries arrive on. The web form, email, WhatsApp, Instagram, agent referrals. The moment one lands, it answers. Not a holding message. A real reply in your voice that moves the conversation forward, at two in the morning, from a camp with no signal, in the middle of your season.

  • 03

    The Warm Handover

It draws out the shape of the trip. Dates, party, budget reality, experience, and the reason they are really going. Then it hands you the whole thing with everything you need to carry on. And it is built to notice the moments that were never meant to be automated, and come and fetch you the second one arrives.

It never designs the journey. That part stays yours. It holds the doorway, and it knows when to come and find you.

WHY THE OTHER ANSWERS FAILED

You have already tried to fix this. Here is why none of it worked.

None of these were stupid decisions. Each one solved a different problem to the one you actually have.

Hiring someone

A new person cannot sound like you for six months, is still asleep when the enquiry from Denver lands, and may be gone inside a year. The Voice Print sounds like you on day one and never resigns.

The CRM

A CRM is a filing cabinet. It records what happened after somebody did the work. It has never answered a single enquiry in its life. The Doorway does the work, then puts the record in the cabinet for you.

Templates and autoresponders

They are fast and they are generic, and generic is the one thing your business cannot afford to be. Speed without warmth reads as pressure, and a traveller spending $60,000 can feel a template through a screen.

ChatGPT

ChatGPT answers when you open it. It has never once caught an enquiry at two in the morning, and catching is the entire job. If your volume is genuinely low enough to handle by hand, do it by hand, and I will tell you that on the call.

Every AI company will promise to handle more of the conversation. I will tell you where it should stop. Some conversations should never be automated, and knowing which ones is most of the job.

CONTROL

Fast where it should be. Cautious where it matters.

You decide what it is allowed to say. Everything else waits for you. The system is built to be useful on the questions you have answered a hundred times, and deliberately unhelpful on the ones that need your judgement. It does not guess, and it does not fill a silence with something plausible.

01

Approved responses

The questions you have answered a hundred times, in wording you have read and signed off. Best time of year, what a mobile camp actually is, how a typical day runs, what to expect from the flying. Nothing goes into this list unless you put it there.

02

Human review

Anything you would rather see before it goes. It writes the reply, holds it as a draft, and waits for you. You send it with one tap from wherever you are. You set which enquiries work this way. Some operators want every reply reviewed at the start, then loosen it as they see how it writes.

03

Immediate handover

The moment a question needs you, the conversation stops being ours. The guest is told plainly that you are being brought in. Nothing is invented to keep the exchange moving.

It will never invent:

  • Rates, discounts or what a trip will cost
  • Availability, dates held, or whether a camp can take you
  • Park fees, concession rules or permit questions
  • Medical, vaccination or malaria advice
  • Visa or entry requirements
  • Camp, vehicle, guide or logistics detail it has not been given
  • An itinerary recommendation that depends on your judgement

If it does not know, it says so, and it brings you in. That is the whole design.

WHO IS BUILDING THIS

Built by Neville Pollard.

Technology should protect the human relationship, not impersonate it.

I grew up in Botswana, from the age of four until I left for university. Our holidays were bush holidays. The Okavango, Moremi, Chobe, the Zambezi. My father gave me a love for that land and its animals before I was old enough to know I was being given anything. I saw the ocean for the first time long after I had already fallen for the bush.

I spent a decade selling after that. Long enough to learn that people do not want to be sold to. They want to feel understood.

That is the whole reason this exists. Not because the world needs more AI, but because too many good businesses lose people in the quiet gap between someone reaching out and someone being free to answer properly. The care was always there. The hours were not.

So Safari Concierge AI is deliberately narrow. It holds the enquiry. It asks the useful questions. It knows when to stop and fetch you. It does not design journeys, it does not price them, and it does not pretend to be you.

I am building this with a small number of operators rather than launching it at everyone, because a system like this is only as good as the voice it learns from. I will lead the early builds myself. You will be dealing with me, not an account manager.

If it turns out your enquiries are already handled well, I would rather tell you that on the first call than sell you something you do not need.

THE PROMISE

The Five Minute Promise.

Within 30 days of going live, your median first response time will be under five minutes, on every channel we cover. If it is not, I keep working at no further charge until it is.

At 90 days we sit down together and look at the numbers honestly. If it is not doing what I said it would, I fix it, still at no charge.

Your Voice Print, approved response library and your data remain yours. The systems that operate the service remain part of Human Flow AI's technology. If we ever part ways, your information and client-specific materials go with you; the managed service ends.

What I will not promise you is bookings, revenue or a conversion rate. Those depend on your pricing, your availability and how you handle the conversation once it reaches you. I will guarantee the part that is entirely mine, completely.

THE RESEARCH

Whoever answers first usually wins. That is not an opinion.

From published studies in other industries. There is no equivalent study for luxury travel.

7x
more likely to qualify a serious enquiry when the first reply lands inside an hour rather than an hour later.
Source · Harvard Business Review, Oldroyd, McElheran and Elkington, 2011
21x
more likely to qualify a serious enquiry at five minutes than at thirty.

Every figure above names the study it came from, so you can check it rather than take my word for it. I would rather show you the research than borrow someone else's logo. I am building the first safari case study right now, and the day it exists it will be on this page with real numbers in it, and the operator's name on it if they are happy to give it.

THE SHAPE OF IT

What it costs, and what it takes from you.

No pricing page games. Here is the honest shape before we ever speak.

Before the number, the comparison you were already making in your head. A reservations person costs $45,000 to $60,000 a year once you have loaded it properly, takes six months to sound anything like you, and is still asleep when the enquiry from Denver lands. One lost trip is $60,000.

Monthly investment

Foundation, $1,950 a month. Fixes the silence on your one primary enquiry channel: an immediate reply in your voice, a safe early conversation, and a warm handover to you.

Momentum, $3,500 a month. Manages the pre-human enquiry journey across your agreed channels: useful qualification, thoughtful follow-up when a strong enquiry goes quiet, current records, and a complete handover when the traveller needs you.

Founding operator terms
Setup waived in full, up to $9,000. Your rate held for twelve months. Three places.
Agreement to live
Three to four weeks, built personally by me, not handed to an account manager.
Your time
Two 90-minute sessions at the start, then quiet.
When we would start
In your shoulder month. I will not build through your peak eight weeks.

At $3,500 a month that is about $115 a day, which is less than a single guest night at your own camp. If it recovers two trips a year it has paid for itself twice, and you would need it to recover one trip every six months just to break even. You already know roughly how many you are losing.

There is a real window in your year, and it is not one I invented. A build takes four weeks and I will not run one through your busiest eight weeks. So if you want this answering enquiries before your season opens, we would need to start before it does.

What you provide:

  • A sample of your own replies to past enquiries, the good ones, so it learns your voice
  • The answers you are happy for it to give, in your words
  • Access to the inbox or form the enquiries arrive in
  • One person who can say yes

We need a few focused hours at the beginning, not forty hours of your season.

HONEST ANSWERS

The questions operators actually ask.

BEFORE YOU FILL ANYTHING IN

This is not right for everyone, and I would rather say so here.

I would rather lose the enquiry now than the relationship later. If you are one of these, please do not fill the form in.

  • Large lodge groups with a full reservations department. You solved this with headcount years ago and you do not need me.
  • Anyone who wants it to handle everything. I am not building that, and you would not like it if I did.
  • Operators with very few enquiries a month. I am not lead generation, and making twelve enquiries faster changes nothing.
  • Anyone comparing this to a chatbot licence. It is not one, and that conversation only frustrates us both.
  • Anyone who will not hand over past correspondence. Without your real writing there is no voice, and without voice this is a template with a fee attached.
  • Anyone whose enquiries are already answered in minutes. It is rare, but it happens. If that is you I will tell you on the call and we can stay friends.

If none of those are you, the form below takes two minutes.

THE FIRST OPERATORS

We're building this carefully, with the people who live in this world.

Early access is small on purpose. I am choosing a few operators who already do this properly, because the system is only as good as the voice it learns from. The early ones help shape what this becomes.

A private 30-minute conversation about your current enquiry process. No pitch deck. If we are not a fit, I will tell you honestly.

In your own words. The messier and more specific, the better. This is the thing we most want to hear.

Know someone in the industry (an operator, a travel designer, a camp owner) who'd want a look at this? Send them this page. We're building it for them too.
